We built SystemOS at Boardly to run Boardly. We still do. Every part of it was used on a real client before it was for sale.
The thing it replaces is not a tool. It’s a habit. You are probably running your studio on six of them today: Typeform, Notion, Google Docs, Bonsai or Lexoffice, DocuSign, Calendly, a spreadsheet. Every handover between two of them is a name typed twice, and every name typed twice is a place the numbers can quietly stop agreeing.
SystemOS is those six, on one thread. Intake, quotes, invoices, contracts, bookings, finance. One client record. A project goes from first message to paid without anyone typing it twice.
What you run on it
Intake. A full-screen form on your own link, one question at a time, keyboard-first. Budget, brief, booking, inside the same flow. A lead who leaves at question six is still a lead. You see which question loses people. Completions land as contacts, live, not in a CSV you download on Monday.
Quotes, invoices, contracts. One editor. Line items, VAT, currency, sequential numbering. The client gets a link, reads, signs in the browser, saves a PDF. No account for them. Password the link if you need to. An accepted quote becomes the invoice in one click. Same line items, same numbers. Issued invoices lock. Corrections net out. You do not quietly edit a sent invoice.
Bookings. Kickoff books against your real calendar, on the same record as the brief. Built-in, or keep Cal.com. Google Calendar decides when you are actually free.
Finance. Every invoice you send is already in revenue. Every receipt is already in costs. Margin per client, received versus outstanding, what the stack costs you. Drop in last year’s PDFs, check the numbers, see the picture. DATEV export for your advisor. Full workspace export if you ever leave.
The room. Shared notes, todos, mentions. Live activity: form completed, quote viewed, invoice paid. A toast when they sign, not a surprise next week. Everyone on their own login. The same client, not six versions of them.
Ask OS. You say draft a quote from the rebrand brief, or read this receipt. It shows you the result and waits. It never writes silently. Switch it off and the rest of the platform keeps working.
How a client moves
They open your intake. They answer once. They can book the call before they leave the form.
You open the record. Name, company, budget, already there. You price. You send. They sign.
You convert. You send the invoice. You watch it to paid. Finance already knew.
That is the platform. Not four apps that sync overnight. Four views of one client.
